MVP - Scope Snapshot
Rapidly stand up AI-assisted retrieval + document automation across priority town-planning and advisory workflows using existing Human Habitats work product (statutory applications, strategic briefs, due diligence memos, council correspondence, etc.).
Emphasis:
Minimal friction; use available SaaS stores (SharePoint/Drive, email attachments, project folders) + light schema; deliver quick wins (templated reports, advisory briefs, submission summaries).
3 system lanes running in parallel, orchestrated by top-level workflow:
Ingest & Structure Lane
Watch data sources; extract metadata; normalise to Project Record.
Index & Retrieve Lane
Chunk + embed docs; push to vector DB; enable semantic + filter retrieval.
Generate & Deliver Lane
Assemble context → LLM prompts → draft docs → route for human review → publish.
You only need a handful of standardised fields to unlock automation across Human Habitats' service lines:
| Field | Example | Source | Use in AI |
|---|---|---|---|
| Project_ID | HH-Blackburn-199203 | Folder name / PM system | Retrieval filter, grouping docs |
| Site_Address | 199-203 Whitehorse Rd, Blackburn | Doc parse / GIS lookup | Location context in drafts |
| Municipality / LGA | Whitehorse City Council | Lookup by address | Statutory pathway instructions |
| Zoning(s) | C1Z, DDO8 | Parse planning scheme PDF/API | Regulatory reasoning |
| Service_Line | Statutory / Strategic / Master Plan / Rezoning / Advisory / Landscape | Folder tag or manual | Template branching |
| Status | Pre-app / Lodged / Info-Req / Panel / VCAT / Approved | PM system, email keywords | Draft tone & next steps |
| Key_Dates | Lodgement, RFI due, Hearing | Calendar parse | Alerts & report inserts |
WF-1: Ingest & Structure Project Data
Continuously pull new/updated files & metadata from Human Habitats content sources and update the master Project Record + Doc Catalog.
Trigger Patterns:
- Polling (Cron) every 2h for key shared drives
- Webhook for manual 'ingest this folder now'
- IMAP Email Trigger for inbound council correspondence
WF-2: Index for AI Retrieval (Vector Store Build / Refresh)
Build and maintain vector embeddings for semantic search across all documents.
Trigger Patterns:
- Triggered from WF-1 when new/updated docs appear
- Manual rebuild
WF-3: AI Retrieval as a Service (RaaS) – Slash Command Interface
Enable team to pull context fast during planning submissions, advocacy, panels.
Trigger Patterns:
- Slack slash command /hh-ai
- Web form (Contact portal internal)
- Manual trigger from n8n UI
WF-4: Auto-Draft Due Diligence Snapshot
Generate comprehensive due diligence reports for site/acquisition reviews.
Trigger Patterns:
- Called from WF-3 selection
- Manual trigger
WF-5: Statutory Submission Cover Memo Automation
Auto-generate cover memos for planning permit submissions.
Trigger Patterns:
- From WF-3
- Cron pre-lodgement
WF-6: Advisory 'What's Next' Smart Note
Generate status updates and next steps across all service lines.
Trigger Patterns:
- Cron nightly
- Triggered after status change event
